  • Overview

    The Donor Relations and Special Events Coordinator works closely with the Assistant Director of Donor Relations and Special Events and other members of the Central Development Office to create and implement sound strategies to cultivate and steward prospects and donors at all levels, including events and special stewardship and recognition plans for donors. Assist with a range of donor correspondence and communications. Manage routine stewardship and select special stewardship activities. Report on recognition and stewardship activities to senior staff.


    Event Support  (60%):

    • Working closely with the Assistant Director of Donor Relations and Special Events, assists with the planning, preparation, and staffing of events, including Board and International Advisory Council meetings, Brookings Council and Brookings Society events, study tours, and other special events throughout the year.
    • Assists with planning documents (show flows, contact sheets, etc.), invitations and lists, mailings, responses, and guest lists and maintains the records of donors and prospects in Raiser’s Edge (RE) as it specifically pertains to events.
    • Drafts various event-related correspondence and materials and coordinates mails and blast e-mails.
    • Generates lists for events using the RE database, reviews and determines actions necessary to ensure comprehensive receipt of invitations and accurate record-keeping.
    • Assists with day-of event execution and manages nametags, place cards, and table cards, and staffs the reception table at events, as assigned.
    • Look for best practices at other organizations and offer suggestions for improving processes and activities.

    Donor Recognition and Stewardship (30%):



    • Maintain and update the permanent donor recognition walls throughout the Brookings campus in coordination with the Assistant Director of Donor Relations and Special Events. Assist in the development of donor lists and name confirmation process.
    • Assist with research and coordination of special appreciation gifts and events for donors who have demonstrated an extraordinary commitment to Brookings.


    • Coordinate plan and oversee routine maintenance and stewardship for institutional donors, including endowment stewardship reports and endowment files, both electronic and hard copy, with up-to-date information regarding the history, use, and financial information of the funds.
    • Ensure routine and special stewardship activities are implemented and integrated into overall fundraising cycle.
    • Assist with preparation for and execution of the annual International Advisory Council meeting.
    • Respond to donor questions and provide information and materials as requested.
    • Enter information into the donor database to track cultivation and stewardship activities.

     Writing and Communications (10%)

    • Assists with production of the Brookings Annual Report in coordination with the Director of Development Communications. Compiles annual Honor Roll of Contributors.
    • Assists with production of the annual International Advisory Council meeting report, special communications, meeting and trip reports, and President’s Letters.


    Education/Experience Requirements:


    Bachelor’s degree required.  Must have a minimum of two years’ experience working in a fundraising setting.  Must be legally authorized to work for any employer in the U.S. 

    Knowledge/Skills Requirements:

    Excellent interpersonal, organizational, writing, proofreading, and administrative skills. Strong attention to detail. Ability to meet deadlines and manage competing demands. Ability to take initiative and work independently as a dependable team player. Must demonstrate experience in manipulating data and producing reports from Raiser’s Edge, or other relational database. Excellent Raiser’s Edge and Microsoft Office skills. Professional demeanor and ability to handle confidential information appropriately.
