The Office of Development manages the Trustees, institutional partnerships, leadership giving, the International Advisory Council, the Brookings Council, the Brookings Society, and overall fundraising strategies for the Executive Office and Institution at large. 

 

Please note: This position is based in Brookings' Washington, DC office.  The person hired for this position must be willing to move or currently reside in Washington DC, Maryland, or Northern Virginia. In response to COVID-19, Brookings staff are temporarily teleworking.

The Development Services Assistant provides administrative support to the Development Services Team broadly and dedicated support to the Senior Director of Development Services. The Assistant will provide back up to the team’s coordinators and managers across communications, services, and research functions. The Development Services Assistant will work with counterparts in similar positions throughout Central Development and Brookings research programs to coordinate efforts.

 

Administrative Support (60%)

  • Manages and maintains the Senior Director of Development Services calendar. Schedule all appointments, meetings, and conferences while coordinating related logistics as needed.
  • Regularly updates Senior Director of development Services on internal and external issues and requests, as needed.
  • Responsible for reconciling credit card statements for the Senior Director of Development Services.
  • For the Development Services Team, schedules team meetings and prepares/updates meeting agendas, documents, and other necessary materials. Ensures the Senior Director for Development Services sees and reads all necessary materials to prepare for meetings. 
  • Routes contracts and invoices for signature or payment via Sharepoint.
  • Orders office supplies and maintains an updated inventory of current stock.
  • Receives and screens phone calls from the general development line and emails sent to the general development email inbox. Handles or appropriately refers all requests for information.
  • Provides support to the development research team by compiling biographical and background information on donors and prospects when needed.
  • Assists the research team with event-related briefings.
  • Provides basic copyediting and proofreading support.
  • Greets guests and provides other day-of event assistance for Institution and Department events as needed, such as the International Advisory Council and Board of Trustees meetings.
  • Provides assistant-level project management support for ad-hoc projects.

Gift Processing and Data Maintenance (30%)

  • Provides gift processing support to the Associate Director of Development Services and Development Services Coordinator by:
    • Processing unrestricted, restricted, endowment, and other commitments and payments.
    • Determining the appropriate internal gift processing workflow by assessing gift agreement and contract type and identifying the appropriate review process.
    • Creates new grant approval workspaces, monitors the progress of circulation, prompts users, uploads and distributes final gift paperwork
  • Executes on data entry, hygiene, and data maintenance projects to further the efficiency and accuracy of the Raiser’s Edge database.
  • Assists the Senior Director of Development Services and Associate Director of Development Services with data entry projects as needed.
  • Helps organize and maintain Central Development’s Sharepoint document libraries.

Program Support (10%)

  • Assists the Senior Director of Development Services with basic HR tasks including organizing and maintaining files, completing forms, scheduling meetings.
  • Initiates, prepares, and provides follow-up on orientations (training sessions, business card requests, office supplies, IT needs, etc.); completes orientation processes and schedules; communicates with incoming employees and affiliates as needed; works with Central Development and other Institutional staff to ensure smooth onboarding of new arrivals.
  • Assists departing employees and affiliates with checkout and departure procedures.
  • Prepares and documents changes in status of employees and affiliates.
  • Maintains records, organizational charts, space use records, and personnel files

Education/Experience Requirements:

 

Bachelor’s degree or an equivalent combination of education and experience required; a minimum of two years professional and/or related experience required.   Demonstrated ability to support executives.  Familiarity with fundraising and fundraising software, particularly Raiser’s Edge, preferred. Experience in a related institution and/or familiarity with public policy organizations and strong writing skills is highly desirable.

 

Knowledge/Skills Requirements:

 

Excellent interpersonal, organizational, writing, researching, proofreading, and administrative skills. Strong attention to detail and problem solving.  Ability to work in a fast-paced environment, turn things around quickly, and manage competing demands with a high commitment to customer service.  Self-starter with a demonstrated ability to work independently and as part of a team. Professional demeanor and ability to handle sensitive and confidential information appropriately.
