Position Location: This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC, office with the option of at least two days of remote work each week.

 

Please Note: This position is included in the staff bargaining unit, Brookings United, affiliated with the IFPTE Local 70 union, and is covered under the terms of the collective bargaining agreement.

Responsibilities

Project & Administrative Support (65%)

  • Manage the flow of information (internal and external), commitments, and tasks on a daily basis to make sure the project team meets demands on time.
  • Provide day-to-day staff support for Metro on projects including participating in project team meetings and/or other group calls for information gathering and task management purposes to ensure the Metro team is meeting key project milestones.
  • Serve as internal point of contact on special projects and initiatives to maximize our coordination, visibility, and value; coordinate project-related tasks with minimal supervision, as assigned.
  • Schedule internal and external meetings and provide staff support for meetings and events with external stakeholders, as assigned.
  • Coordinate with the development team on project-related progress updates to inform reporting to key funders.
  • Support impact tracking efforts by gathering and logging activities in Salesforce.
  • Maintain and coordinate supervisor’s calendar, including booking internal and external meetings and travel.
  • Compile briefings and prepare packets for travel and other key meetings, as directed.
  • Coordinate and manage confidential information with an extremely high level of discretion.

Network Coordination & External Relations (35%)

  • Support formal and informal outreach to key non-media audiences by drafting accurate and error-free communications and maintaining up-to-date contact lists.
  • Manage and ensure appropriate and timely follow-up to external requests from Metro’s network, coordinating with internal stakeholders as needed.
  • Manage and maintain standardized contact and distribution lists of external stakeholders and track related engagement activities in Salesforce.
  • Attend key meetings for purposes of producing high quality summaries, takeaways, or other documentation of next steps, as directed.
  • Provide event coordination support for network convenings, webinars, and/or workshops, as directed.
  • Demonstrate awareness of and interest in Metro research and activities.

Qualifications

Associate degree (preferably in communications, public relations, public policy, sociology, or other liberal arts field) or an equivalent combination of directly relevant experience and training required; Bachelor’s degree preferred. Minimum of three years’ relevant administrative, communications, or project support experience. Non-profit and/or agency experience preferable, but not required. Demonstrated ability to work collaboratively and independently.

Knowledge/Skill Requirements

Excellent interpersonal skills and ability to effectively communicate and exchange information, as well as serve as an enthusiastic ambassador for Metro. Ability to multi-task, meet tight deadlines, and take initiative in a fast-paced environment without compromising attention to details. Strong organizational and time management skills. Familiarity with Microsoft Office programs (including Teams, Outlook, Excel, Word, and PowerPoint), Zoom or equivalent videoconferencing platform(s), and Salesforce or other CRM, with the capacity to learn new programs and applications. Ideal candidates will have discretion, poise, and mature judgment. Interest and familiarity with important urban and metropolitan issues and trends preferred

Qualifications

The Engagement Coordinator, under the supervision of the Director of Engagement, helps advance Metro’s impact goals by providing project and administrative support on special initiatives, network management, and outreach strategies to key external stakeholders, including local partners and donors. Specific activities include scheduling, managing internal and external requests, capturing and tracking tasks, preparing external outreach, providing execution support on meetings and convenings, and other duties as assigned.
